Is Your Bakery Ready for a Recall? NorthernSky Cloud Offers Six Steps Smaller Food Producers Can Take Now

NorthernSky – When a supplier recalls an ingredient, a large manufacturer can usually pull the affected records from its systems in minutes. For a small bakery or specialty food producer, the same task can mean hours or days of searching through delivery notes, production sheets and invoices, while affected product may still be on shelves.
NorthernSky Cloud, which develops the Batchwork production and traceability platform for smaller food producers, has outlined six practical steps any producer can take to be ready before a recall happens. Most of them can start today with nothing more than a notebook or a spreadsheet.
1. Treat every delivery as a lot
When ingredients arrive, record the supplier’s lot code, the supplier name, the delivery date, the quantity and the expiry date. Two deliveries of the same flour are two different lots. Without the lot code, a supplier’s recall notice is very hard to act on.
2. Link ingredient lots to production batches
Give each production run its own batch code, put it on the packaging, and note exactly which ingredient lots went into it. This is the link most smaller producers are missing. Knowing you used cocoa powder last week isn’t enough; you need to know which lot of cocoa powder went into which batch.
3. Record who received each batch
For every order or delivery, write down the batch code alongside the customer, quantity and date. This becomes your recall contact list. If you can’t say which customers received a batch, you may have to recall far more product than necessary.
4. Correct records, don’t delete them
Mistakes happen. When they do, mark the record as cancelled or corrected rather than erasing it. During a recall review, a missing record raises more questions than a corrected one.
5. Run a mock recall
Pick one ingredient lot at random and time how long it takes to answer three questions: Which batches used it? Which customers received those batches? How much is still in stock? If the answer takes more than an hour or two, the gaps you find will show you what to fix.
This is the problem Batchwork was built to solve. It records ingredient lots, production batches and shipments in one connected system, so a single search on a lot code or batch code answers all three questions.
6. Keep a recall contact sheet ready
Keep current contact details for your suppliers, customers, insurer and local food safety authority in one place. In a recall, time spent looking for a phone number is time lost.
Start before you need it
A recall is the worst time to discover gaps in your records. Buyers increasingly expect producers of every size to know where their ingredients came from and where their products went. Producers who build these habits now will be ready for a recall and for their customers’ next question.
